Getting Started

Your first login, understanding your role and ship scope, and navigating the portal.

This page walks through your first session in the SeaSquad platform: logging in, understanding what you can see, and finding your way around.

Signing in

Your administrator creates your account and sends you an invitation. Depending on how your organisation has configured access, you'll sign in either with an email and password or through your organisation's Microsoft account. If your company uses Outlook, signing in with Microsoft also connects your mailbox for the email intelligence features.

If you can't sign in, check with your company's SeaSquad administrator first — most first-login issues are account setup rather than a platform problem.

Understanding your role and ship scope

Every account has two things that shape what you see in the portal:

  • A role, which determines what actions you can take — for example, whether you can upload documents, edit the certificate register, or manage other users.
  • A ship scope, which determines which vessels' data you can see — one ship, a subset of your fleet, or the whole fleet, depending on your position.

Roles are organised in three tiers: platform-level roles for your organisation's overall administrators, company-level roles for office staff working across the fleet, and fleet-level roles scoped to specific vessels. Your administrator assigns both your role and your ship scope when your account is created, and can adjust them later as your responsibilities change.

Because scope is enforced everywhere — documents, certificates, reports, the AI assistant — you'll only ever see data for the vessels assigned to you. See Roles and access for the full picture.

The portal is organised around a persistent navigation sidebar with the main modules: dashboard, AI assistant, documents, certificates, inspections, reports, and email. Which items you see depends on your role.

The dashboard is a good place to start each session — it surfaces an overview of your fleet's status, open items, and recent activity relevant to your scope.

Selecting a vessel

Most modules are organised per vessel. Where a page needs a specific ship — such as documents or certificates — you'll find a ship selector that lists the vessels in your scope. Pick a vessel to work within its folders, register, and reports; some views, like the AI assistant, also let you switch between a single-ship context and a fleet-wide view.

Getting help

  • Use the in-app help and support section for guidance on specific features.
  • Ask the AI assistant — it can answer many day-to-day questions about where to find something or how a feature works, in addition to answering questions about your fleet's own data.
  • Contact your organisation's SeaSquad administrator for account, access, or role questions.

Once you're comfortable navigating the portal, the AI assistant and Documents pages are the best next stops — most day-to-day work in SeaSquad starts with one of the two.
