Chat with an AI assistant that understands your fleet's documents, certificates, reports, and email.

The AI assistant is a chat interface built into the portal that can search and reason over your fleet's own data — documents, certificates, reports, reminders, and correspondence — and answer general maritime questions using web search.

What you can ask

The assistant is organised around a few focus areas, which you can select before or during a conversation:

  • Email — analyse and help draft correspondence.
  • Ship — fleet status and vessel operations.
  • Documents — search and retrieve content from uploaded documents.
  • Tasks — reminders and follow-ups.
  • MarineGPT — maritime regulations and industry questions, using web search rather than your own fleet data.
  • Onboarding — training and checklist guidance.
  • Classification — class survey and certification status.
  • General — anything else.

You don't have to pick a category up front; a general question will route to the right area automatically. Selecting a focus area simply narrows and speeds up the assistant's search when you know what you're looking for.

Ship-context selection

Conversations can be scoped to a single vessel or to your whole fleet, depending on what you're asking and your ship scope. When you ask about a specific ship — "when does the Safety Management Certificate on this vessel expire" — the assistant scopes its search to that vessel's documents and records. Fleet-wide questions, such as "which vessels have a certificate expiring this month", search across every ship in your scope.

You will only ever see answers drawn from vessels within your own ship scope — the assistant never surfaces data for ships you don't have access to.

Maritime web-search mode

The MarineGPT mode is for questions that go beyond your own fleet's records — maritime regulations, flag state notices and circulars, classification society requirements, or general industry questions. In this mode the assistant searches authoritative maritime sources on the web rather than your uploaded documents, and is useful when you need context that isn't going to be sitting in your own document library.

How answers are grounded in your documents

When you ask about your fleet, the assistant retrieves relevant material — document content, certificate register entries, report data, reminders, and related records — and builds its answer directly from what it finds, rather than from general knowledge. This is what makes it possible to ask specific, current questions ("what's the status of the fire drill defect raised last month on this ship") and get an answer grounded in your own operational data rather than a generic response.

Where the assistant references a source document or record, you can open it directly from the conversation to verify the answer or read further.

The assistant answers from what has actually been uploaded and processed. If a document was uploaded recently, give it a few minutes to finish processing — see Documents — before asking about its contents.

Prompting practices

  • Be specific about the vessel and the document type when you can — "the last PSC inspection report for this ship" retrieves faster and more accurately than "recent inspections".
  • Ask follow-up questions in the same conversation. The assistant keeps context from earlier in the thread, so you can narrow down or pivot without repeating yourself.
  • Use MarineGPT mode for regulatory or industry questions rather than asking the general assistant to guess — it will search the web rather than attempt to answer from memory.
  • Reference dates and identifiers when known (certificate numbers, defect IDs, report periods) to cut down on ambiguity when a fleet has many similar records.
